Project Design Schedule

We had our first team meeting with Mike and Ross to go over landscape design and some things we need from Mike for the next meeting.  With the schematic design wrapping up for the Landscape Design we will be scheduling the next meeting next Friday and I wanted to list the items to be produced and reviewed as part of that meeting.

Landscape Meeting #002 - (next Friday)

  • Tim - Will modify the Left and Rear Elevation to reflect Ross's gate design with the guardrail on the roof top terrace.
  • Ross - Will modify and present his submittal documents for the Town of Danville's Planning Commission (the Landscape Plans)
  • Mike - Per our previous meeting - get feedback from his foundation guy about using a Matt Slab vs Raised Floor (based on the soils report).  We will also need a brochure or website for a standing seam metal roof company so we can pick a standard color.  We will also need to produce a material sample board but this we will discuss in the meeting.
  • Vince and Liwen - The plan selection will influence the color of the house (per my discussion with Liwen today).  Since Manzanita will be used I suggested using the color of the bark as are dark brown accent color to go along with our "dry grass" beige color (these will be our two main colors

During this meeting we will schedule the submittal to Danville.  After that push - then we will come up with a weekly meeting to follow under this forum discussion - thanks.

  • In preparation for our team meeting this Thursday 9/25/2014, here is a list of things that's come to our attention that we would like to discuss with the entire team. 


    1.  Review the latest drawings that Tim sent over of the soffit and perforated ducts. We're not quite sure how to interpret some things.
    2. We will make a goal to make decision on the Structural Engineer

    2. We have retained Monk & Associates to conduct the comprehensive biological study as requested by the CA Dept. Fishing and Wildlife. Geoff Monk came back with the following comments. 

       2a. After his initial visit to the site on Monday 9/22, there doesn't seem to be any rare species or plants that 
             will require special permit or be an issue. However, he will need to come back to the site to do another 
            study in the SPRING TIME (Mar/Apr). The Golden Eagle study was not in spring as Geoff Monk had originally 
            thought. The Danville Planning Dept. has stated that all biological studies and issue resolutions be 
            completed before the town will issue permit. So we will not be able to break ground until this study is 
            completed. 
     

       2b. Currently the long driveway that starts on the main road and goes up all the way to the main house is too close to the DRIP LINE of the Oak Tree on the Windemere side. Geoff will have to flag it in his report, which will trigger a notice to the San Ramon department which may make an issue over impacting the Oak Tree's drip line. If we move it over just 5 feet, we can avoid having to send out any notifications to city of SR. 

       2c. Geoff Monk needs the Grading Plan from the Soils Engineers. Do we need piers? ..etc. 

       2d. Geoff Monk did not see the entire line of utility stakes that goes from bottom of the hill to the top. He will 
             need to know how the utility will run to the house from the point where we plan to widen the road at Rick 
             DeHerrera's gate. Right now if we run it straight up the hill, it's a very steep hill and we could trigger 
             erosion since trucks can't get there to compact the soil. We may want to consider run it along the road after 
             that widened turn. But he will need to look to the Soils Engineers to provide input and recommendation. 

  • Now that we have our big milestone completed (submittal to the DRB) we can get a better handle on the schedule moving forward (since everything to date has been an effort to push for the submittal).  We started with meetings with just the Cheung's and I then the team grew to include Mike and Ross.  We had two of these team meetings (as listed above) and I wanted to outline what is in store for a future Schedule.  I will send out Google E-mail Invites to see if it works with everyone's schedule.  Since we have had two team meetings to date the next one will be meeting #003.

    Happy Friday, everyone! Just a quick note to close the loop on a few items:

    - Ross, I don't think we have any additional changes that would be consequential to the landscape plan, so please go ahead and provide the revised colored plan as discussed with the changes last week
    - Tim, let us know if there is anything else we haven't covered in the Town submission materials, other than the samples that Mike will provide by Monday, and the final couple of of items we discussed on AllyLocal regarding the clerestory window
    - Mike, in addition to the stucco samples, were you able to get any additional feedback from your foundations guy on Matt Slab vs. Raised Floor? Remind us again which way we are going for the Preliminary Plan submission to the Town?

    I went over how we might want to do the schedule with Mike (on the phone) but we can go over it again in our meeting Friday.  You already know this but adding it here for everyone (below)...

    Note - I'll be up in Oregon on Monday and Tuesday (going through orientation with my daughter up at UoO) - but I will still have access to the internet and my cell 925-451-8256.

  • Thanks for capturing the meeting minutes with owners and timeline. It will be good to have this after each meeting. After looking at this in more detail, I think I I still need a more detailed project plan that reflects key milestones,deliverables,dependencies from now to when we get the permit. It will help me better prepare knowing what is on the horizon 1 week out, 3 weeks, 8 weeks out..etc. I think (per our conversation earlier) that once we get complete the initial submission, then you can provide a more detailed schedule. Is that correct?
